Position Overview
The Administrative Assistant will support the operations team to help them stay organized, complete tasks, and proctor and score exams to allow them to focus on more advanced responsibilities. They will handle general office tasks and administrative duties – such as data entry, facilitating meetings and communications, managing/maintaining calendars, etc.
Wage & Working Hours
- Part-time, Hourly Position
- Hourly rate of $18-$20, requirement of 15-20 hours/week
- Flexible Work: Hybrid work in Shadyside/East Liberty location and remotely. Minimum of 4 work
days, 2 days in-person required. - Required to work Saturdays for exam proctoring
Responsibilities
- Proctor and score SAT and ACT exams
- Answer phones, check voicemails and greet families
- Schedule appointments and maintain calendars resolving conflicts when necessary
- Manage CRM software and support with billing softwares
- Keep track of inquiries and conversions
- Communicate and follow up with potential, new, and existing clients
- Schedule and coordinate weekly staff calls
- Create and maintain filing systems (electronic and physical)
- Support Academic Director with division administration
- Qualifications and Competencies
- High School Diploma or equivalent
- Minimum 2 years experience as an administrative assistant or in any administrative field/position
(preferably in education) - Proficient in MS Office and operation softwares
- Strong communicator and relationship builder
- Excellent organizational skills
- Detail-oriented and adaptable
- Quick learner
- Must be able to obtain PA Clearances
